Moving Policy

The relocation of a company is a very important and sometimes difficult function. It is the goal of the Lincoln Harris CSG team to assist tenants with their move, making it as smooth and efficient as possible. For your convenience, we have prepared a Move-In Checklist.

The key to a successful, hassle-free move is frequent and effective communication and coordination between the tenant, the tenant’s moving company and the Management Office. In order to achieve this goal, the following guidelines and policies have been established:

Before You Move In

There are many things a tenant needs to remember before the actual move takes place. The Move-In Checklist further down the page is designed to assist you. In addition, please note the following:

Notification of Move-In Date

The Management Office should be notified at least two weeks prior to your scheduled move-in date. Please complete the Pre Move-In Information Form (opens in new window).

Move-In Hours

Monday - Friday: After 5:00 p.m. or before 8:00 a.m. Weekends and Holidays: Anytime

Notice of Deliveries

We request that you provide the Management Office with 24-hour notice of any additional deliveries expected after you have completed your move. Please contact the Management Office at (215) 387-5502.

Keys

Keys for your suite will be provided to a designated representative of your firm upon final acceptance of your finished space. Five keys are provided any additional keys can be purchased from the Management Office for $7.50 and will be billed to the tenant. For any lock changes or repair work please use the Tenant Center (opens in new window).

After-Hours Access

For the protection of all tenants and their employees, the Management Office has contracted to supervise the entry into the office building. Access cards are required to gain entry into the building. To arrange for your initial issue of building access card, please submit a list of all employees requiring access to the building to Management. Additionally, all arrangements for key replacements, disablement of lost or stolen keys or keys of former employees, or to report defects or other problems regarding your keys, please contact the Management Office.

Furniture, Equipment and Supplies

Movers are required to adhere to the following rules and guidelines. If these guidelines are not complied with, the moving company will not be admitted to the premises or will be required to discontinue the move.

Moving Company Guidelines

The moving company must establish a firm arrival time with the Management Office and provide the name and phone number of a contact person knowledgeable about your move.

A "moving route" must be established prior to the move.

Employees of the moving company will not be permitted access to any part of the building other than the predetermined "moving route."

All walls, door facings, elevator cabs and other areas along the "moving route" will be inspected by the Management Office and moving company personnel before and after the move. It is the responsibility of the moving company to note any and all existing damages or defects.

The moving company must provide and install protective coverings on all walls, door facings, elevator cabs and other areas along the "moving route". After completion of the move, the moving company will be held responsible for the repair of any damage caused during the move.

Clean masonite sections are required as runners on all finished floor areas where heavy furniture or equipment is being moved with wheel or skid type dollies. Masonite sections should be at least 1/4" thick. 4' x 8' sheets are required in the lobby area and corridors; 32" sheets are required in suite doorways.

Clean plywood sections are required when moving over "sensitive" floors (i.e., stone or tile floors).

Repair costs for any damage to the building or its fixtures caused by the move are the responsibility of the moving company.

The building can accommodate moderate amounts of trash that may accumulate during your move. Please clearly label all trash with BASURA stickers (available in the Management Office) and place in clear view for night pick-up. If you need minor assistance with trash removal during the day, please call (215) 387-5502 and a day porter will be dispatched. If you anticipate accumulation of large amounts of trash, please make special arrangements for removal with the Management Office.

In buildings where available, only the freight elevator will be used for movement of furniture, equipment and supplies. In buildings where there is no freight elevator, passenger elevators must be padded by building personnel prior to your move. Please make arrangements with the Management Office for use of the elevators and padding. A firm arrival time will be established.

Move-ins of large quantities of furniture, equipment or supplies must take place after 5:00 p.m. on weekdays. Weekends and holiday moves are permitted any time of day; however, all move request must obtain prior consent from the Management Office.

In buildings where available, tenants and their moving companies must use the SERVICE CORRIDOR. Deliveries will not be permitted through the lobby entrances unless prior written consent has been obtained from the Management Office.

Employees of the moving company are to be uniformed at all times.

Move-In Checklist

Prior to Move-In

Pre Move-In Information Form (opens in new window) Each new tenant is required to complete and return to the Management Office a Pre Move-In Information Form. The completed form provides the Management Office with pertinent information needed prior to and following your move-in.

Signage Request Form - Pending The Signage Suite Request Form enables us to accurately process and manufacture signage reflecting the name for your suite and the building directories. Please TYPE the forms the exact way you would like your signage to appear.

After-Hours Building Access Card Request Form (opens in new window)

After-hours building access cards enable you and your employees to enter the building. All requests for access cards should be submitted to the Management Office.

Suite Keys Suite keys will be delivered to an authorized tenant representative upon final acceptance of your space. Duplicate keys can be obtained through the Management Office for a nominal fee.

Moving Company Policy In addition to proper proof of insurance, your moving company is also required to adhere to the property's MOVING COMPANY GUIDELINES (Pending). Please furnish your moving company with a copy of the guidelines and make sure they have familiarized themselves with them prior to your move.

Insurance It is important that the Management Office receives the insurance documentation for you and your moving company at least 24 hours prior to your move-in. Please review your lease and the MOVING COMPANY INSURANCE REQUIREMENTS (Pending) for exact details and limits of coverage. Failure to provide this information prior to your Suite Acceptance Walk-Through will result in the delay of your move-in.

Telephones 3535 Market Street has a very strict policy regarding telephone installation. Only Landlord approved vendors are allowed to enter our phone rooms. Therefore, you must contact the Management Office for approved vendors to run phone service into your suite. Remember, if you have a phone switch it will be located in your suite, usually on a plywood blackboard.

Change of Address The U.S. Postal Service should be notified of your move and provided with your new address:

Mail Delivery Mail delivery will commence once the U.S. Postal Service has been notified of and has processed your change of address. Upon move-in, each tenant is assigned a mailbox (located in your building's mail delivery area) along with one mailbox keys.

Pick Up and Delivery Hours Monday thru Friday:

U.S. Mail pick up: 1:00 p.m. and 5:00 p.m.
UPS pick up: 6:30 p.m.
FedEx pick up: 7:00 p.m.

Post Move-In

Post Move-In Information Form (opens in new window) A Post Move-In Information Form should be completed and returned to the Management Office following your move. The information requested on this form enables us to update our records for more efficient communication with your company.

Tenant Warden Designation Please designate one or more individuals from your staff to serve on the Emergency Evacuation Team and submit the names to the Management Office. These individuals will be responsible for the coordination of emergency procedures for your office/floor in the event of an emergency and should be completely familiar with all Fire/Life Safety procedures outlined in Life Safety Handbook (Pending).
